Overview
This guide walks you through creating your first Smart Automation in EvangelOS. Automations require the Complete plan and are managed at Settings → Automation.
Before You Start
Confirm you have the site_admin role or the org:automation permission. If the Automation tab is not visible in Settings, your organization may need to upgrade to the Complete plan.
Step 1: Open Automations
Navigate to Settings → Automation. You will see a list of any existing automations and a button to create a new one.
Step 2: Create a New Automation
Click New Automation. You will be prompted to give it a name — choose something descriptive, like "Birthday Outreach" or "Inactive Member Alert."
Step 3: Choose a Trigger
Select the event that should start this automation. The available triggers are:
- Risk Score Change — fires when a member's pastoral risk score changes
- Member Inactive — fires when a member becomes inactive
- Event Reminder — fires ahead of a scheduled event
- Birthday Reminder — fires on or near a member's birthday
- Donation Goal Reached — fires when a fund hits its goal
- Budget Alert — fires when a budget threshold is crossed
Configure any trigger-specific options that appear, such as how many days before an event to send a reminder, or the risk score threshold to watch for.
Step 4: Choose an Action
Select what should happen when the trigger fires. Your options are:
- Send Notification — an in-app notification to a staff member
- Send Email — an email to a specified recipient
- Create Task — a follow-up task assigned to a staff member
Fill in the action details: the recipient, message content, or task description.
Step 5: Save and Activate
Click Save. Your automation is active immediately. You can disable it at any time using the toggle on the Automation list page, or edit it to adjust the trigger or action.
Example: Notifying Staff When a Member Goes Inactive
- Name: "Inactive Member Alert"
- Trigger: Member Inactive
- Action: Send Notification — "A member has become inactive. Consider reaching out." — assigned to your pastoral care team.
- Save.
From this point on, whenever a member's status changes to inactive, the assigned staff member will receive an in-app notification automatically.
