EvangelOS helps you organize your volunteer base, schedule volunteers for events, and track engagement — all connected to the member records you already maintain.
Setting Up Ministry Departments
Ministry Departments define your church's organizational structure for service. Examples: Welcome Team, Worship Team, Kids Ministry, Security Team, AV Team.
- Go to Settings → Fields.
- Locate the Ministry Departments section.
- Click New Ministry.
- Enter a Ministry Name and optionally add a description, contact email, meeting time, and location.
- Click Save.
If your church uses Planning Center Online, you can link a Ministry Department to a PCO Team from the same form and configure one-way or two-way sync behavior.
Marking Members as Volunteers
Individual members can be identified as active volunteers from their member profile. Admins can toggle the volunteer status on any member record to track who in your congregation is available and serving.
- Open the member's profile.
- Locate the Volunteer Status toggle and set it to active.
Scheduling Volunteers for Events
Volunteer scheduling in EvangelOS is tied to your event calendar. For each event, you can create volunteer positions and assign members to fill them.
- Open an event from the Events section.
- Navigate to the Volunteers tab on the event.
- Click Add Position and assign a member to the role.
- Use Request Volunteers to send a sign-up invitation to eligible members.
- Members receive an email (or SMS if opted in) notification about the volunteer request.
Volunteer Availability
Members can mark their general availability from their Member Portal profile. EvangelOS uses this to flag scheduling conflicts when you assign volunteers who have marked themselves as unavailable.
Background Check Requirements for Volunteers
If your church requires background checks for certain volunteer roles, EvangelOS integrates with Vetty to manage this process.
- Go to Background Checks in the left sidebar to initiate and track Vetty background check requests for individual members.
- A member's background check status is visible on their profile and can be reviewed before scheduling them for sensitive roles such as Kids Ministry.

Volunteer Check-In
Volunteers can check in to their assigned service slots to confirm attendance.
- Volunteers can check in via the Member Portal on the day of their assignment.
- Staff can manually mark volunteers as checked in from the event's Volunteers tab.
Communicating with Volunteers
Use the Communications module to reach your volunteer base. When composing a message, filter recipients by volunteer status or by members assigned to a specific event's volunteer positions to target your audience precisely.
Frequently Asked Questions
What's the difference between a Group and a Ministry Department?
Groups are primarily for congregation community and fellowship — small groups, Bible studies, and similar gatherings. Ministry Departments define your church's organizational structure for service, with scheduling, background check tracking, and engagement management. A member can belong to both groups and ministry departments.
Can volunteers see their own schedule?
Yes. Volunteers with a Member Portal account can view their upcoming assignments from the portal.
Can I export volunteer data?
Yes. Event attendance data, including volunteer check-ins, can be exported from the event's Check-In tab.
