Overview
EvangelOS's volunteer management module lets you create volunteer slots for events, assign members to those slots, and track who is serving where. With the Growth and Complete plans, you also get skill-based matching — so you can quickly find the right person for each role.
The Volunteer Role
EvangelOS includes a dedicated volunteer role for members who serve in your organization but don't need full administrative access. Users with the volunteer role can:
- View their assigned volunteer slots and upcoming service schedule
- Check in to events as a volunteer
- Confirm or decline volunteer assignments via email or the member portal
Assign the volunteer role to a user from Settings > Users.
Setting Up Ministry Areas
Before scheduling volunteers, set up your ministry areas (e.g., Worship Team, Kids Ministry, Hospitality). Go to Settings > Ministries to create and manage ministry definitions. Skills attached to those ministries drive the smart matching feature.
Creating Volunteer Slots for an Event
- Open the Event Profile and go to the Volunteers tab.
- Click Add Slot.
- Enter the Ministry, Role Name (e.g., "Worship Leader," "Sound Tech"), and Number Needed.
- Optionally set a Required Skill — this enables skill-based filtering when assigning volunteers.
- Click Save Slot. Repeat for each role needed.
Assigning Volunteers
Manual Assignment
- Click the slot you want to fill.
- Click Assign Volunteer.
- Search for a member by name. If a Required Skill was set, members who have that skill are highlighted in the results.
- Select the member and click Confirm.
Smart Match (Growth and Complete Plans)
- Click Smart Match on the Volunteers tab.
- EvangelOS analyzes the required skills for all open slots and suggests available members based on their skill profiles, availability (no conflicting assignments), and past service history.
- Review the suggestions and click Accept or Reassign for each slot.
- Click Apply All to confirm the full suggested assignment set.
Volunteer Confirmations
When a volunteer is assigned to a slot, EvangelOS sends them an email asking them to confirm or decline the assignment. You can track confirmation status in the Volunteers tab:
- Pending — Assignment sent, awaiting response
- Confirmed — Volunteer accepted
- Declined — Volunteer declined; slot shows as open again
Tracking and Reporting
From the Volunteers tab on any event, you can see the full slot list, assignment status, and confirmation status. For a cross-event view of a member's volunteer history, open their Member Profile and click the Volunteer tab.
Frequently Asked Questions
Can I schedule recurring volunteer assignments?
Yes. If your events are part of a recurring series, volunteer slot templates defined on the series are automatically populated for each occurrence. Individual assignments still need to be made per event.
Can volunteers see their schedule in the member portal?
Yes. Members with the volunteer role can view their upcoming assignments and service history under My Volunteering in the member portal.
