Setting Up Check-In Label Printing

Setting Up Check-In Label Printing

EvangelOS supports printing name tags and security labels for Kids Check-In. You can print directly from the Print Station using a connected Dymo or Brother printer, or generate PDF labels for standard printing.

Step 1: Configure Your Label Templates

Before you can print at check-in, you need to set up at least one label template.

  1. Go to Settings in the left sidebar.

  2. Click the Labels tab.

  3. Click Add Template to create a new label.

For each template, you'll configure:

  • Printer Type: Choose from Dymo, Brother, or PDF.

  • Label Type:

    • Child Label — The name tag printed for the child, typically including their name, room assignment, allergies, and a unique security code.

    • Parent Label — The matching pickup tag given to the parent, printed with the same security code. Parents present this at pickup for secure child release.

Save your template once it's configured. You can create multiple templates for different ministries or age groups (e.g., a Nursery label with allergy fields, a simple name tag for Elementary).

Step 2: Assign Check-In Locations to Your Event

Check-In locations (Kids rooms) are assigned per event. Open the event, go to the Details tab, and set the Check-In Locations field. Labels will be associated with the rooms you assign here.

Step 3: Use the Print Station

The Print Station is a dedicated printing interface for check-in day. Navigate to it directly — it is not listed in the main sidebar navigation. From the Print Station you can:

  • Search for a child by name or family.

  • Select the correct label template.

  • Print the child label and parent pickup tag in one step.

Make sure your Dymo or Brother printer is connected and recognized by your browser before opening the Print Station. For PDF printing, labels will download automatically for standard printing.

Tips

  • Test your label templates before a Sunday service to confirm sizing, fields, and printer connectivity.

  • The security code on the child and parent labels is unique per check-in session — it cannot be reused.

  • Labels print automatically when a child is checked in through the Check-In Station if a printer is connected and a template is assigned.
